  • Overview

    Coordination of administrative services for Cardiology Clinic. 

    Provide support, project and work flow assistance to the physician and administration of the clinic.

    Responsibilities

    SUPPLY PROCUREMENT & IT  RESPONSIBILITIES

    • CVA web site management: monitoring, updates and recommendations for future enhancements.
    • Update referring physicians and other providers in PM and Outlook and notify Epic Ambulatory build team to assure an accurate and current database.
    • Supply, inventory, printed materials, promotional items:
      • Receive requests, determine necessity of request and timing of when supply is needed
      • Review inventory to assure adequate supplies, printed materials and promotional items are available.
      • Order the product, inventory item or printed material needed according to protocol and policy for purchasing

    CREDENTIALING, LICENSURE AND RECRUITMENT

    • Complete in a timely manner hospital credentialing and re-credentialing for outreach and local facilities and locations.
    • Provide copies of licenses and certificates as requested and when renewed.
    • Complete credentialing and provider agreements for newly recruited physicians and other providers in a timely manner to assure of timely payments by insurers.
    • Assist in coordination of physician recruitment candidate itineraries and travel arrangements.
    • Monitor and track physicians, mid-level providers and clinical staff for licenses, certifications and ACLS for renewal. Tracking requirements include MD, ARNP, PA, CMA, RN, LPN, DEA, ICS, Board Certification, ACLS, BLS.
    • Maintain physician CME spreadsheet for ICAEL, ICANL and ICAVL and listing for of CME to provide for credentialing.

    FINANCIAL PROCESSING, REPORTING & TRACKING

     

    • Time clock edits in Krono’s.
    • Review, edit and authorize time cards in Krono’s bi-weekly for payroll. Authorization of bi-weekly must occur on the Monday of payroll by 12:00 p.m.
    • Maintain Occurrence tracking log sheets and notify supervisor when employee reaches levels requiring corrective action.
    • Invoices: receive, authorize, code and submit for payment.

     

     

    TALKS, HEALTH FAIRS and Student Rotations

    • Resource for coordination of talks and health fairs.
    • Arrange speakers for events, assist in preparing Power Point and handouts for talks. Arrange for staff members to represent the CV Service Line at health fairs and other events.
    • Monitor advertised events to determine whether our practice should be involved in the event. Make recommendation to C.O.O. and follow through on sponsorship or other involvement.
    • Coordinate students (MD, MLP) who want to shadow or do a rotation with our practice assuring compliance with liability insurance, HIPAA, immunizations and agreement with the school or sponsor.

    Qualifications

     

    Minimum Education

     

     

    High school diploma or GED. Associates Degree in Business Assistant preferred but will consider experience.

     

     

    Minimum Work Experience

     

     

    4 years+ medical experience in administrative capacity including credentialing.

     

    Required Licenses/Certifications
