Overview

POSITION SUMMARY

The rehab therapy office assistant supports hospital-based therapy operations: house-wide scheduling, matching staff to workload, auditing medical records, tracking insurance and regulatory compliance, supervising Project Search interns and volunteers, and other administrative support functions. In addition, the rehab therapy office assistant provides patient care activities at an advanced level and performs a variety of department housekeeping tasks. This associate is expected to adhere to and exemplify the UnityPoint Health FOCUS values/behaviors and the PMR associate-patient relationship policy.

Responsibilities

ESSENTIAL DUTIES AND RESPONSIBILITIES – Non-Clinical

  • House wide scheduling in AM
    • Call off associates if overstaffed or figure out if there are orientation/training needs
    • Call in PRN associates if understaffed to see if they can help
    • Prioritize patients and shift staff assignments if understaffed
  • House wide scheduling in PM
    • Call off associates RWL if needed
    • Confirm with PRN staff who are scheduled to work the next day
    • Set rehab board for next day
      • Coordinate therapy times when new ones arrive
      • Accommodate special requests from patients, care coordinators, nurses, psych, etc.
      • Consider patient/staff continuity and efficiency
    • Set ortho board for next day
    • Determine if outpatient can help if necessary
    • Schedule to workload
  • Review, track and post iInpatient Rehab minutes compliance
  • Audit compliance with rehab discharge summaries each month
  • Track monthly FIM data each month for Inpatient Rehab
  • Follow up with associates regarding missed FIMS/Caretool/team conference compliance
  • Perform G-codes audits
  • Create weekend schedule under supervision of management
  • Assist staff and management with special projects
  • Orients, trains and supervises Project SEARCH intern. Performs midterm and final performance review.
  • Helps orient and train new associates and volunteers to specific job tasks
  • Obtains equipment for new patients as needed
  • Tracks and records various processes such as students, inservices, volume statistics, etc.
  • Maintains a safe and orderly work environment by performing duties such as routine cleaning/sanitizing equipment, changing pillow cases between patients, restocking linen and returning equipment and supplies to their proper location
  • Creates supply orders and puts new supplies away
  • Participates in Physical Medicine and Rehabilitation and hospital meetings
  • Participates in performance improvement activities
  • Performs additional duties as assigned such as grocery shopping, making materials for home programs, and maintaining various logs (ex. food, temperature, preventative maintenance).

Qualifications

PERSONAL SPECIFICATIONS

  • Education
  • High school diploma or equivalent required

 

Qualifications/Experience

  • Writes, reads, comprehends and speaks fluent English
  • 6-months of UnityPoint Health experience as a rehab therapy tech preferred
  • Demonstrated ability to work with complex patients
  • Demonstrated ability to perform one or more of the following essential department functions: department scheduling, daily or weekend staffing, organizing and tracking equipment inventory, insuring regulatory compliance        .
