Ability to perform a variety of clerical work independently. Operating computer and other common office machines. Interpreting for all services in Public Health and in the community for Public Health programs as needed.




  1.  Greets patients and visitors and provide courteous, caring and professional assistance to all individuals contacting the office. Answer questions and provide non-medical information and/or direct to appropriate person or department.
  2. Ability to assume full responsibility for maintaining confidentiality.
  3. Accurate interpretation of questions and answers in the clinic, answering the phone, scheduling appointments and assisting with follow-up calls with the professional staff with various service programs.
  4. Appropriate and accurate documentation in patient’s charts as required.
  5. Data entry specific to program.
  6. Patient registration/admission to Public Health.
  7. Scheduling and rescheduling patients.
  8. Patient discharge, completion of appropriate “paperwork”.
  9. Medical records: Make new charts for all programs, purge and split charts, release of information, filing of charts for all programs, and maintenance of files.
  10. Calculate income eligibility for clients.
  11. Access REV’s line for Title XIX funds verification.
  12. Knowledge of telephone system (transfer calls, voice mail).
  13. Answer and direct phone calls in a professional manner.
  14. Speak, write and translate fluently in English and Spanish.
  15. Knowledge of medical terminology in English and Spanish.
  16. Interpret for Spanish speaking patient during exams (All clinics and programs).
  17. Complete tasks as assigned in a timely fashion.
  18. Maintains knowledge of operation and function regarding various programs and services of the department; serves as general informational resource in department.
  19. Responsible for retrieving charts and immunization cards 24 hours prior to WIC clinics and has available for nursing staff.
  20. Must be able to handle stress relative to rush projects and meeting deadlines, work under pressure in a highly productive office environment and set reasonable priorities.
  21. Effective professional business written and verbal communication skills.

  22. Accurate spelling, punctuation and grammar.
  23. Participates in CQI activities as assigned.
  24. Other duties as assigned.




High School Diploma. Prefer post secondary education, or experience in secretarial or clerical work. Phone, typing skills, filing and medical terminology preferred. Medical Assistant certification is helpful.



  • Ability to read, write and communicate effectively in English.
  • Ability to read, write and translate effectively from English to Spanish. (Additional/Other languages would be valuable as well.)
  • Answer telephone calls (Spanish and English). Basic data entry (example: immunizations).
  • Interpreter for Spanish-speaking clients. Ability to learn basic office equipment (copier & fax).  
  • Ability to work as a team player or independently.
  • Able to organize and professionally manage demanding workload.
  • Critical thinking skills.
  • Treats patients and their families with respect and dignity.
  • Maintains a good working relationship both within the department and with other departments/organizations.
