The Patient Scheduling Coordinator is responsible for managing complex patient scheduling, including multiservice appointments, diagnostic tests, and surgeries, ensuring timely access and adherence to regulatory requirements. The role verifies insurance coverage, secures prior authorizations, and updates patient data in the Electronic Medical Record (EMR) system, ensuring accuracy and compliance. The role also coordinates with clinic staff, mentors junior staff, and contributes to process improvements to optimize patient scheduling and access.

Responsibilities

  • Manages complex scheduling and rescheduling of appointments, procedures, diagnostic tests, surgeries, and hospital admissions across multiple providers.
  • Greets and checks in patients, assists with forms, and prioritizes urgent or high-priority cases to support timely access.
  • Coordinates multi-service appointments and phone calls to efficiently schedule procedures and services.
  • Works with patients and clinic staff to ensure accurate, timely scheduling and completion of pre-certifications, insurance, and financial requirements.
  • Provides patients with appointment details, procedure instructions, and pre-visit requirements, answering questions and resolving concerns.
  • Verifies insurance coverage, obtains prior authorizations, and coordinates interpreter services and special accommodations as needed.
  • Maintains accurate patient scheduling, demographic, insurance, and procedure information in the EMR; identifies when outside records are needed.
  • Audits patient records for accuracy and compliance with organizational policies, HIPAA, and regulatory standards.
  • Organizes and maintains department records in accordance with regulatory requirements.
  • Prepares and distributes patient outcome reports and coordinates timely follow-up with patients and providers.
  • Provides guidance and mentorship to staff to support efficient scheduling workflows.
  • Identifies opportunities and contributes to process improvements that enhance scheduling efficiency and patient access.

Qualifications

  • High School Diploma or equivalent required. 
  • Associate’s degree in Business Administration, Healthcare, or other related field preferred - not required
  • Customer service experience or health care experience required
  • Experience working in medical front office position performing duties such as scheduling appointments, checking patients in/out, insurance verification, and maintaining medical records preferred.
