Under supervision by the PACE Director, is responsible for the direct supervision of PACE transportation staff, Administrative Assistant II PACE (medical appointment schedulers), and for overseeing the day-to-day coordination of transportation services for PACE to ensure a safe, functional, accessible and comfortable environment for the delivery of services to participants. Ensures PACE transportation operations, scheduling and facility management are in compliance with all governing regulations.

Responsibilities

Leadership & Program Management

• Provides leadership in the development, implementation, and evaluation of PACE service goals and outcomes.
• Participates as a member of the leadership team in organizational planning, goal setting, and program evaluation.
• Facilitates development of strong, cohesive teams through effective communication, team building, and problem-solving.
• Provides administrative after-hours on-call support.
• Assists in development of job descriptions and participates in interviewing, hiring, onboarding, and training staff.
• Assists in development of staffing models and ensures compliance with staffing guidelines, including use of temporary/agency staff.
• Supports professional development by identifying and assessing core competencies and performance improvement opportunities.
• Evaluates employee performance at 30/90 days, annually, and as needed.
Operations & Care Coordination

• Oversees coordination of PACE providers and participants for outpatient services and referrals to specialty providers.
• Oversees scheduling and confirmation of all external diagnostic appointments, surgeries, and medical consultations.
• Coordinates clinical service delivery with business functions such as payroll, accounts payable, and billing.
• Maintains collaborative relationships with other healthcare providers.
Compliance & Regulatory Oversight

• Maintains working knowledge of applicable federal, state, and local laws, regulations, and organizational policies (e.g., Compliance Accountability Program, Code of Ethics) to ensure adherence.
• Ensures risk management principles are implemented across operations.
• Adheres to PACE Participant Rights Policy at all times.
• Protects privacy and maintains confidentiality of sensitive participant and organizational information.
Transportation & Resource Management

• Manages ongoing vehicle maintenance and plans for vehicle replacement to ensure safe transportation.
• Assesses and plans for additional vehicle purchases to meet growing participant needs.
• Assists in ensuring efficient use of organizational resources through financial and operational report monitoring.
Quality & Patient Care Oversight

• Monitors quality of participant care provided by PACE Center staff, transportation staff, and contracted providers.
• Ensures a safe, functional, accessible, and comfortable environment for service delivery.
• Investigates and resolves grievances, service concerns, and incidents, ensuring timely documentation.
• Works effectively with individuals from diverse ethnic and cultural backgrounds.

Qualifications

Education

Bachelor's degree OR equivalent education and experience

 

Experience

One to two years of leadership required

 

Licenses/Certifications

  • Current license when driving company issued vehicles
  • Must have a minimum of two years driving experience with no record of DUI, DWI, or similar alcohol or drug related offenses over the past five years
  • No record of reckless driving, careless driving, speeding over 15 miles above the speed limit, fleeing or eluding a police officer, chemical test refusal, leaving the scene of an accident, driving after revocation or suspension, or passing a stopped school bus in the last five years.
  • Auto Insurance when driving personal vehicle
  • IA Child Abuse Mandatory Reporter Training in state(s) where providing care
