Overview

We are seeking an experienced Administrative Assistant III to manage highly complex administrative tasks for departments and healthcare teams. This role oversees scheduling, communications, and travel arrangements, and ensures seamless execution of major departmental events.

Responsibilities

  • Lead administrative support for one or more departments, managing scheduling, communications, and travel. 
  • Serve as primary liaison for senior leadership, handling complex calendars, meetings, and sensitive information. 
  • Oversee major departmental events, conferences, and follow-up logistics. 
  • Prepare and distribute high-level reports, presentations, and documentation for leadership and stakeholders. 
  • Maintain filing, record-keeping, and clerical systems in compliance with privacy and organizational policies. 
  • Manage departmental resources, budgets, expenses, and office inventory. 
  • Collaborate with other departments to ensure smooth information flow and support cross-departmental requests. 
  • Onboard, train, and supervise junior administrative staff, providing guidance and performance oversight. 
  • Lead process improvement initiatives to enhance efficiency, reduce costs, and streamline workflows. 

Qualifications

Education:  

  • Associate's degree in business or a medical-related field, or a high school diploma and equivalent experience required. 

Experience:  

  • At least five years of experience in an administrative, business, or medical related field required.
