Responsibilities

Coordinating Recruitment Visits

  • Coordinate all logistics related to physician and provider recruitment visits, both virtual and in-person, including scheduling interviews, booking travel, making reservations, ordering meals, and preparing detailed itineraries for candidate visits.
  • Provide administrative and operational support to the Provider Services team, including calendar management, documentation, and communication tracking.
  • Serve as the primary point of contact for candidates during the interview process, ensuring a smooth, timely, and professional experience.
  • Partner with market leadership and internal stakeholders to plan and execute successful site visits, including facility tours, interview day logistics, and hospitality arrangements.
  • Prepare and distribute interview materials, candidate profiles, and feedback forms to interviewers and hiring leaders.
  • Attend on-site interviews as directed by the Recruitment Manager
  • Maintain accurate records and documentation in the applicant tracking system (ATS) and other internal databases.
  • Assist in coordinating tasks and ensure handoffs to the Provider Services team are timely and complete.
  • Contribute to process improvements by identifying inefficiencies and offering recommendations for enhancing the recruitment experience.
  • Develop knowledge of health system markets and tailor recruitment support to align with the needs of individual departments and locations.
  • Collaborate cross-functionally with HR, credentialing, marketing, and other internal teams to support recruitment goals and timelines.

Administrative Support

  • Draft, format, and proofread professional correspondence, reports, and recruitment-related documentation with a high level of accuracy and attention to detail.
  • Maintain and organize candidate and recruitment files ensuring accuracy, confidentiality, and compliance with organizational recordkeeping standards.
  • Support the Provider Recruitment team by performing additional administrative tasks as assigned by the Director or Manager of Provider Recruitment to ensure a positive candidate experience.
  • Stay current on internal systems, organizational policies, and procedures relevant to recruitment and administrative support functions.
  • Complete all required annual training and educational sessions within designated timeframes.

Qualifications

Education

Associate degree or five years of administrative support work will be considered in lieu of Associate Degree.

High School Diploma

 

Work Experience

Experience using a computer and programing, particularly Microsoft Office

Experience with a health care organization

Experience using an Applicant Tracking System (ATS)
