Overview

Centralized Scheduler 

Full-Time; Monday-Friday; rotating shifts: 730A-4P, 745A-415P, and 8A-430P; May need to come in early for procedures scheduled earlier than shift. 

 

The Scheduler is responsible for scheduling, canceling, and confirming patient’s appointments for services throughout the Grundy County Memorial Hospital system and visiting specialty providers by direct or indirect contact with our customers.  Creates accurate and thorough registration for each patient visit. Discusses patient liability before time of service as defined by the patient’s insurance plan. Identifies those patients who may need financial assistance. Interacts in a customer focused and compassionate manner to ensure patient’s needs are met.

Responsibilities

Departmental Support and Functions

  • Anticipates the need to assist coworkers and adapt to staff coverage in any scheduling area or site.
  • Ability to multitask and work efficiently to maintain patient movement and schedules.
  • Ability to communicate and work collaboratively with Revenue Cycle team members as well as ancillary departments of the Hospital.
  • Adheres to regulation pertaining to Medicare Secondary Questionnaire (MSPQ), Health Insurance Portability and Accountability Act (HIPAA), Personal Health Information (PHI), Advance Beneficiary Notice (ABN), and Emergency Medical Treatment and Labor Act (EMTALA).
  • Assists new hires in training process.

Scheduling Functions

  • Proficient with all types of scheduling functions in electronic health record (EHR) system for GCMH and for visiting specialists.
  • Schedules, cancels, and confirms patient appointments for hospital services and visiting specialty clinics.
  • Answer all inquiries from customers, both internal and external, in a timely manner.
  • Register all patient services by ensuring patient information is complete and accurate and orders/referrals are obtained as necessary to ensure timely billing.
  • Follows UnityPoint Health Registration Standards to ensure data accuracy and timely billing.
  • Verifies insurance eligibility by accessing on-line resources, phone, or fax. Reads return responses to ensure insurance coverage is verified.
  • Proficient in authorization processes and responsible for obtaining authorization information in advance of the service being provided.
  • Provides critical information about testing to patients in advance of services, and ensures necessary information is relayed to the servicing department.
  • Checks in patients for services, ensuring proper paperwork is completed and distributed to appropriate personnel in a timely manner.
  • Prepares pre-service estimates for patients and communicates information about financial responsibility to patients in a customer-oriented fashion.

Financial Management

  • Meets defined/established collection goals of the health system.
  • Responsible for working Patient Work queues daily and completing accounts timely and accurately to ensure timely billing.

Qualifications

Minimum Requirements

  • High school diploma or equivalent
  • Writes, reads, comprehends and speaks fluent English
  • Basic computer knowledge using word processing, spreadsheet, email and web browser.

Preferred

  • One (1) to two (2) years of college
  • Previous medical office experience. 
  • Previous experience with an electronic health record or medical office software.
