The Marketing Communications Program Manager will manage all client projects through their lifecycle - including intake, routing, timelines and budget management. They will facilitate communication between the client and departments within the Marketing team while ensuring on-time delivery of client projects. An effective problem solver on a day-to-day basis, the Program Manager must be adept at anticipating gaps or issues, recognizing opportunities for efficient collaboration and implementing best practices for Marketing Communication processes to support the division as a whole.

Responsibilities

 

Project Management

  • Monitor short- and long-term project schedules and activities to adhere to necessary timelines and current review/approval processes.
  • Facilitate the definition of project scope, goals and deliverables for the division at large, with attention to system-wide efforts, market-specific needs and timely or sensitive factors.
  • Coordinate internal and external resources for the development, assessment and execution of projects.
  • Maintain deep understanding of project workflow with accountability for the development, management and deployment of daily/weekly status and traffic meeting agendas and recaps.
  • Participate in key affinity group meetings across digital, content, creative services, internal communications and PR meetings as necessary to facilitate project flow and team coordination.
  • Participate upon request in standing leadership meetings as well as division meetings to support agenda development and follow-up needs.
  • Responsible for managing day-to-day operational projects needs, including but not limited to:
    • Identification of resources and establishment of project schedules
    • Pacing of projects to pause, move or accelerate as appropriate
    • Creation and maintenance of comprehensive project documentation
    • Support of project material development as well as review/approval stakeholder

    • Documentation of project status to assist team with timely client updates

Marketing Communications Division Intake

  • Develop, refine and execute best practices for Marketing Communications project intake using appropriate and available technology (ex. AirTable, Excel, Sharepoint, etc).
  • Communicate changes and updates to division as intake process evolves.
  • Participates and/or facilitates integrated project kickoff meetings as needed.
  • Tracks and communicates necessary ownership and action items to ensure proper updates for integrated system/market work keeps work moving in accordance to necessary timelines.
  • Provides meeting recaps and maintains project status updates for Marketing Communications leaders.

Service Level Agreements

  • Audit Marketing Communication activity levels across system and market teams to better understand current support.
  • Partner with Marketing Communications leadership to document current service level agreements and market-by-market nuances as well as intake information for future service level agreement development.
  • Seek ways to continually improve division activities and processes to reduce duplication where appropriate for efficient output and better prioritization.

Qualifications

Education: 

  • Preferred: Marketing, Communications, Management, or related field

Experience:

  • Five or more years in relevant experience with proven ability to work collaboratively and successfully with a diverse range of individuals and projects.
  • Preferred: Five years experience in account management or project management with an emphasis in operations.
  • Preferred: Program Development, implementation, or contract and annual budget management experience is a plus 

Knowledge/Skills/Abilities:

  • Excellent oral and written communication skills; fluent in English (reading, writing, speaking).
  • Strong interpersonal skills; able to communicate effectively and professionally with individuals from diverse backgrounds.
  • Demonstrated ability to maintain confidentiality and respond with patience and professionalism in all situations.
  • Collaborative mindset with the ability to identify needs and work with others to develop solutions.
  • Sound judgment with willingness to seek guidance when appropriate.
  • High level of commitment to subject matter and continuous learning.
  • Strong work ethic and ability to perform well in stressful situations.
  • Proficient in Microsoft Office, email, and web browsers.
  • Results-oriented and driven to achieve outcomes.
