Overview

We are seeking an Enterprise Central Scheduling Associate to join our team! This position will accurately schedule tests and procedures as outlined by regulatory polices and protocols as requested by physician offices and UnityPoint Health ancillary departments in a customer focused and compassionate manner to ensure that patient needs are met.  Reviews and obtains current patient information for established and new patients.  Accurately enters/updates patient information.  Identifies payer source and verifies insurance eligibility.  Reviews scheduling system for needed updated demographics and consent forms.

 

Location: Remote/Work from home - applicants preferably reside in the UnityPoint footprint of Iowa, Illinois, or Wisconsin 

Hours: Monday-Friday, 9am-5:30pm

Responsibilities

Key Accountability

  • Ability to multi-task and work efficiently with multiline phone systems to accommodate high volume of scheduling phone calls to ensure needs are met and align with system metrics.
  • Accurately schedules appropriate appointments/ tests in the appropriate order within electronic health record (EHR) system while ensuring that all resources are coordinated (room, nurse, provider).
  • Provide information on proper preparation for exam as well as assignment of date, time, coordination of arrival information as per location guidelines and appropriate campus (when applicable).
  • Enter/Verify accurate demographic and insurance information into EHR when necessary.
  • Possess basic knowledge of screening and diagnostic testing.
  • Collaborate with departments and ordering physicians when scheduling to review testing for appropriate protocols.
  • Consistently utilizes protocols for urgent testing needs as dictated by provider and performing department.
  • Effective decision making, communication and interpersonal relations to ensure a positive image of the hospital and to promote a positive patient experience. 
  • Collaborate with financial clearance when pre-authorization is required and identify needs for financial assistance referrals.
  • Accurately processes provider referrals including transcription for compliance.

Registration and Data Integrity

  • Obtain and input accurate demographic and insurance data to ensure accuracy.
  • Consistently schedules, registers.
  • All data collection from patient and or guarantor should be accurate, complete and compliant.
  • Follows all policy and procedures related to optimal financial performance.
  • Utilize tools such as real time eligibility responses, on-line resources, phone or fax to verify eligibility to ensure accuracy.
  • Knowledgeable of self-pay or underinsured patient policies and refers to the appropriate teams for resolution.
  • Ensures accuracy of data collection by resolving registration errors as assigned by work queues.
  • Understands and communicates the required patient benefit information.
  • Follows collection and financial clearance policies and procedures.
  • Understands and executes downtime procedures.

Collaboration and Team Synergy

  • Supports and contributes to department goals by attending department meetings and participating in performance improvement activities.
  • Anticipates the need to assist coworkers and adapt to staff coverage at any registration areas/sites
  • Assists new hires in training processes.
  • Demonstrates teamwork by working, acting, thinking and collaborating as a team while supporting team decisions.
  • Maintains accountability for individual actions and encourage, support, teach, mentor and resolve conflict in a healthy manner.

Qualifications

Education: 

  • High school graduate or GED equivalent is required.

Experience:

  • Previous experience in a medical setting.
  • Working knowledge of medical terminology and third-party payers.
  • Must have previous customer service experience.

License(s)/Certification(s):

  • Valid driver’s license when driving any vehicle for work-related reasons.

Knowledge/Skills/Abilities:

  • Typing skills 40 wpm or keyboard equivalent required.
  • Strong attention to detail
  • Demonstrates clear verbal communication skills
