The secretary of surgery is responsible for receptionist and clerical duties in the Operating Room. This individual will also help run the day to day schedule and be fluent in scheduling cases for the OR.

Responsibilities

Leadership:

  • Assists in creating a positive work environment by mentoring of staff/students and working with team members to develop and facilitate initiatives to strive for positive outcomes in quality and care of patients.
  • Complies with all policies and procedures, and guides team members with compliance.
  • Reliable attendance is an expectation of the team member role, as well as a leader in the unity.

Professional Growth:

  • Assumes responsibility for continued growth in areas of competencies, lifelong learning and involvement in unity and hospital quality of care project.  Continuing education are strongly encouraged.
  • Participates in mandatory education and unit meetings per established guidelines.
  • Complies with all safety goals, infection prevention and risk management policies and procedures.
  • Completes annual mandatory education.

Communication:

  • Communicates utilizing the FOCUS standards in all aspects of care and interactions with others.
  • Effectively communicates with all team members, physicians, ancillary staff and all customers. Answers the phone with proper phone etiquette. Verbal communication is clear and concise, and written communication is legible and done using approved abbreviations.

Collaboration:

  • Practice indicates compliance with HIPAA, DNV, OSHA and all other regulatory agencies.

Other Functions:

  • Unit specific additional functions will be addressed in the competency checklist specific to the assigned unit. Additional certifications and requirements are unit based.

 

Operating Room Functions:

  • Demonstrates an ability to perform all duties required of a Secretary in accordance with established procedures as required.
  • Anticipates needs of surgical suite/staff.
  • Assists in the maintenance and handling of clerical equipment and patient information.
  • Utilizes patient care items and unit supplies in a manner that is cost effective.
  • Complies with established care standards, protocols, policies and procedures.
  • Works to maintain surgery schedule, manages the block schedule times.
  • Provides clerical support to nurse manager/educator including quality reports and audits

Qualifications

  • High School diploma or equivalent required
  • Previous medical experience preferred
  • Must be BCLS certified
  • Must be able to complete computer programs
  • Must be able to meet the competency of unit assigned to an also be able to successfully complete orientation
  • Must be able to meet reliable attendance guidelines
  • Must be able to perform the essential functions of the job, including ability to communicate effectively
  • Able to distinguish colors
  • Able to read, write, comprehend and speak English
  • Must have effective interpersonal relationships & communication skills (verbal, non-verbal, and written).  Must be able to demonstrate the ability to type.
  • Critical thinking skills using independent judgement to make decisions.
  • Able to manage multiple priorities and assignments and handle working under pressure.  
  • Use of usual and customary equipment used to perform essential functions of the position.
  • Physical Demands:
  • Manual dexterity/wrist and hand repetitions: good finger dexterity is needed up to 75% of working time working on computers.
  • Vision, hearing and speaking: must have good visual acuity including color appreciation and depth perception to operate the computer system; speaking and hearing are essential to communication needs of this position.
  • Environmental Demands:
  • May be subjected to noise and odors.
  • Moving mechanical parts found in work environment.
  • Universal precautions must be followed in all areas, workers are exposed to biologic and chemical hazards and must use appropriate protective gear as trained.
  • Work is performed in a well-lit, temperature controlled and humidity controlled environment.
