Overview

The Bed Placement and Staffing Facilitator performs a variety of duties to support accurate and timely bed placement and the scheduling and staffing process of clinical nursing units. Collaborates with the Patient Care Supervisor and ensures accurate and timely record keeping, reporting, & computer data entry. (Bed placement excludes Rehab, Transitional Care Unit, Robert Young Center and Obstetrics.) Coordinates and facilitates all direct admissions and transfers to UPH - Trinity in accordance with established processes and regulatory (TJC, CMS, EMTALA) guidelines.  Actively collaborates with Patient Care Supervisor, nursing and case management to ensure appropriate patient placement for optimal care provision. The Bed Placement and Staffing Facilitator supports the scheduling and staffing process of the patient care employees in the nursing division.   This position reviews and maintains an in-depth knowledge of assigned system applications, related departmental policies, procedures and business operations, staffing and scheduling principles. The Bed Placement and Staffing Facilitator collaborates with and advises department staff, directors, and management in ongoing analysis and design of scheduling practices resulting in optimized use, training and support processes within the clinical units. 


This position reports to the, Manager Patient Care Supervisors, Clinical Resource Team, Telemetry, Safe Patient Handling and OneCall, and works closely with the Nursing Directors, and  Nurse Managers.

Responsibilities

Bed Placement
• Uses Epic electronic health system, to definitively identify and track each potential patient admission request and facilitate patient placement into the appropriate department, bed and admission status information.
• Obtains and documents demographic and basic clinical information from physicians, office staff and/or Trinity clinical staff to facilitate an accurate and timely admission.  Shares information with the Patient Care Supervisor
• Appropriately seeks the direction of the Patient Care Supervisor for any questions.
Direct admissions and transfers to UPH Trinity QC
• Coordinates and facilitates direct admissions and transfers to Trinity
• Performs information intake from physician offices and facilitates clinical handover as requested on all direct admissions
• Performs information intake and facilitates recorded telephone communication between sending and receiving physicians and other facility staff on all transfers from outside facilities.
• Responsible for identifying and escalating direct admission or transfer issues promptly and appropriately to leadership
• Collects data for process improvement purposes as requested by leadership
Schedule Build and Maintenance
• Assist and advise unit management with core staffing schedule builds
• Maintain schedule build for managers
• Unit Matrix, core staffing,  and balancing grids
• Open shift management
• Assist with daily staffing needs
• Schedule updates
• Maintain sitter and tele-sitter monitoring reports
• Maintains LOA  and vacant FTE needs and assignment data for patient care units
Data Management and Reporting
• Attendance tracking and reporting and distribution to unit managers
• Unit position control advising on position posting
• Utilize appropriate software applications, including Excel, Word, PowerPoint, and OneStaff to create, edit, and manage spreadsheets and to process data and correspondences. 
• Implementation and advising of new processes into daily staffing decisions and reports
Relationship building
• Works closely with Nursing directors, nurse managers,  HR business partners
• Provides administrative support to One Call  team
• Responsible for answering the phone, taking accurate and complete information and messages and communicating to department staff.
• Coordinates with other hospital departments and uses hospital systems to obtain and maintain necessary information, supplies and equipment.
• Performs data entry, preparation of reports and distribution of departmental reports under the direction of the Manager. 
• Performs other duties as assigned.

• Completes all annual education and competency requirements within the calendar year.
• Is knowledgeable of hospital and department compliance requirements for federally funded healthcare programs (e.g. Medicare and Medicaid) regarding fraud, waste and abuse.  Brings any questions or concerns regarding compliance to the immediate attention of hospital administrative staff.  Takes appropriate action on concerns reported by department staff related to compliance.
