Description of Position:



This position is responsible for providing a variety of office support services.


The work involves responsibility for clerical and office functions requiring detailed knowledge of procedures; as well as performing routine and varied clerical functions including reception, scheduling, and insurance verification. The work includes word processing, answering telephones, data entry, and interacting with clients and the general public. The position requires a “customer friendly” service orientation in a behavioral health setting utilizing the Robert Young Center’s Trauma Informed Care Guiding Principles.


Essential Functions/Responsibilities:

Reception/Office Support

  • Answer the telephone promptly and direct calls to the appropriate staff.
  • Greet clients and the public; ascertain the purpose of their visit and direct them to the appropriate staff or location.
  • Assist clinical staff with clerical requests.
  • Order and replenish office or clinical supplies.


Staff Services

  • Maintain Service Activity Logs for client and staff events.
  • Enter data into the Management Information System or other tracking system.
  • May record the minutes for clinical staff meetings.
  • Maintain schedule of appointments for evaluations or admission into treatment.
  • Type letters, reports and other materials. Proofread and post letters for mailing.
  • Photocopy letters, forms or documents as needed


Client Services


  • Complete paperwork with clients; this may include Promissory Notes, releases of information, documents for evaluation, admission or discharge and/or other related paperwork for client involvement.
  • Contact Insurance companies to verify benefits.
  • Collect fees from clients, maintain ledger, and balance cash drawer.
  • May complete follow-up telephone calls to clients.
  • Schedule new and active clients with needed appointments

  • Demonstrates the UnityPoint Health Values and Standards of Behaviors as well as adheres to policies and procedures and safety guidelines.
  • Demonstrates ability to meet business needs of department with regular, reliable attendance.
  • Employee maintains current licenses and/or certifications required for the position.
  • Practices and reflects knowledge of HIPAA, TJC, DNV, OSHA and other federal/state regulatory agencies guiding healthcare.
  • Completes all annual education and competency requirements within the calendar year.
  • Is knowledgeable of hospital and department compliance requirements for federally funded healthcare programs (e.g. Medicare and Medicaid) regarding fraud, waste and abuse.  Brings any questions or concerns regarding compliance to the immediate attention of hospital administrative staff. Takes appropriate action on concerns reported by department staff related to compliance.

Minimum Requirements






High School graduation (or GED) including courses in office procedures.






Some clerical and typing experience; or any equivalent combination of training and experience.












  • Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition and grammar.
  • Knowledge of the operation of office equipment including telecommunication systems, computers and photocopiers.
  • Knowledge of the federal drug and alcohol confidentiality law (42 C.F.R. Part 2) and the Health Insurance Portability and Accountability Act.
  • Ability to listen to and understand information and ideas presented through spoken words and sentences.
  •  Ability to communicate information and ideas in speaking so others will understand.
  • Ability to establish and maintain effective working relationships with other employees and the general public.
  • Ability to perform the physical demands of the position with or without reasonable accommodation where applicable.
  • Skills in the operations of computers and other office equipment.
